Privacy Policy

1. Who runs CareerHub

CareerHub is operated by SCDS Club (Students' Computing and Data Science Club), the official student club of the College of Computing and Data Science (CCDS) at Nanyang Technological University (NTU), Singapore. This policy covers the CareerHub web portal only.

2. What we collect

• Account identity — your name and NTU email address, from Microsoft Entra ID (NTU SSO) when you sign in. CareerHub never sees or stores your NTU password.
• Profile details — matric number, course, year of study, and phone number, which you provide during onboarding.
• Programme data — what you submit when registering for or participating in a programme: ProjectHub registration answers, team membership, weekly check-in submissions (progress notes, repository links, uploaded files), and Techterview 101 / Weekly Challenge activity where applicable.
• Teammate Finder data — skills, interests, Telegram handle, and bio, but only if you explicitly opt in and consent to sharing it with other students looking for a team.
• Files you upload — resumes, slide decks, or other attachments you submit through a form.
• Session/technical data — a session cookie that keeps you signed in, and a CSRF token used to protect form submissions. We do not use third-party advertising or tracking cookies.

3. How we use it

Strictly to run the programmes you take part in: matching you to a ProjectHub team and mentor, tracking registration and check-in progress, showing your team's shared information to your teammates, sending programme-related emails (e.g. a mentor sign-in link), and letting SCDS Club committee members administer the programmes you've joined. We do not sell your data, and we do not use it for advertising.

4. Who can see it

• SCDS Club committee members administering the programme you're in.
• Your own ProjectHub teammates and assigned mentor(s) — limited to your team's shared registration/check-in data, not your full profile.
• Other students, only if you explicitly turn on Teammate Finder visibility — and only the fields you choose to share (skills, interests, Telegram, bio), never your matric number or phone number.
• External mentors, only for the team(s) they're assigned to, and only what that team submits.

We do not share your data with third parties outside SCDS Club / NTU CCDS, except where required by law or NTU institutional policy.

5. How long we keep it

We retain programme data for as long as needed to run the programme and for reasonable record-keeping afterward (e.g. year-over-year continuity for a recurring programme like ProjectHub). You can ask us to delete your account and associated data at any time — see §7.

6. Security

Authentication runs entirely through NTU's Microsoft Entra ID — we never handle your password. Data is stored on infrastructure we manage, access is limited to committee members who need it to run their programme, and all traffic to CareerHub is encrypted (HTTPS).

7. Your choices

• Turn Teammate Finder visibility off at any time — you'll stop being shown to others immediately.
• Ask to review, correct, or delete your data by contacting us (below).
• Decline to provide optional fields (e.g. bio, phone number) where a programme doesn't require them.
